Associates are eligible to apply for a lateral transfer after completion of one (1) year of service in their present position, with the following exception: an Associate who has received a written warning is not eligible for a transfer/promotion prior to six (6) months from date of issuance; an Associate who has been suspended is not eligible for transfer/promotion prior to one (1) year from date of suspension. Part-time Associates who have completed their probationary period can move to full-time vacancies within their department provided such movement will not unreasonably reduce the operational efficiency of that department. Probationary period is three (3) months for full-time employees, and four (4) months for part-time employees who works more than 3/5 of the normal workweek.

The Secretary II provides secretarial and routine administrative duties; and provides support to Orthopedic Surgery patients during physician office hours and following office visit or surgical procedures. Supports daily operation of physician office hours including coverage of front end. Prioritizes assignments and organizes functions to insure effective office operations. May lead and direct clerical staff. Performs related work as required

Please note: In the event of an emergency, vacation and/or staffing shortage, this role will cover all orthopedic locations (This role also supports multiple providers and will be expected to work on Saturday and work later shifts as needed. Hours/Shift/Schedules are subject to change (Map 6, Wakefield, Tarrytown, White Plains etc.) as needed.

RESPONSIBILITIES:

  • Coordinates departmental office functions including organizing clerical functions and determining priority of tasks to ensure efficient office operations.
  • Prepares and types routine correspondence, reports and forms to relieve physicians and clinical staff of administrative or clerical detail.
  • Screens and responds to telephone and mail inquiries. Researches and prepares data in reponse to routine inquiries and assists physicians in preparing paperwork for insurance companies, work, and billing purposes. Responds to requests for information.
  • Process patient paperwork in concert with attending physician, schedule and authorize diagnostic studies for Orthopaedic patients and surgical candidates.
  • Responsible for scheduling and acquiring authorizations for all surgical procedures. Responsi ble for contacting all vendors for surgical procedures.
  • Performs routine clerical duties including maintaining accounts, logs and records, billing patients, providing phone coverage, process physician dictations and distributing mail. Provide clerical support for department.
  • Maintains inventory of office supplies and equipment specific to physician/patient support. Ensures department has adequate office supplies in order to function efficiently.
  • Schedule surgical procedures and diagnostic studies for Orthopaedic Surgery patients.
  • Responsible for documenting patient encounters and phone notes into system. Completion of all alerts/flags in system processed in a timely fashion.

REQUIREMENTS:
* High School Graduation or equivalent; and completion of a business school course.
* Training in PC based automated word processing systems, pc or mainframe-based database management programs.
* Knowledge of medical or equally complex terminology
* Three (3) years secretarial experience
